What personal information Notch collects, why, who sees it, and your rights. The rules for using Notch are in the terms.
Notch is run by [company or trading name: to fill in], [address: to fill in]. For most of the information on this page we are the "controller": we decide how it's used. Questions, or to use your rights: [contact email: to fill in].

What we collect: your name, email and/or mobile, the postcode of the tree, what work you want, any description, and your photos.
Why, and our lawful basis: to send your request to tree surgeons who cover your area so they can quote, and to let you follow it. We share your request with them because you ask us to and tick to agree (consent); running the service around it is in our legitimate interests.
Who sees it: enrolled tree surgeons whose area includes your postcode see your photos, description, the work, the postcode district (e.g. "OX1") and roughly how far away it is. Only the tree surgeons who take one of the 3 places to quote see your name, contact details and full postcode. They then hold them as their own customer information.
Your link: your request has a private link, emailed to you. Anyone with the link can see your request, so keep it to yourself.
Requests close after 14 days. You can withdraw your consent and ask us to delete your request at any time; tree surgeons who already have your details will need to be asked too, and we'll help.
We keep your postcode, email and/or mobile, the work you want and how soon, so we can tell you once when a tree surgeon covers your area (consent). We also count how many people are waiting in each postcode area and the work they want, to show tree surgeons where there's demand. Those counts never include who you are.
To check a spot we send its location (your postcode, or your phone's location if you choose "I'm at the tree") to planning.data.gov.uk and postcodes.io, two public UK services. We don't send anything else, and we don't link the check to you.
We keep the result for that spot for 30 days so the next check nearby is quicker, and we count checks by postcode area. Your phone's location is used once for the check and isn't stored against you. To stop the service being misused, the address your device connects from is kept in memory for up to an hour.
What we collect: your email, name, business name, phone, VAT details, day rate and costs, your logo and terms if you add them, your marketplace area, your quotes, past jobs and outcomes, and a record of sign-ins.
Why: to provide the app under our agreement with you (contract): pricing, sending quotes, learning your prices from past jobs, and showing you nearby jobs if you're in the marketplace. We look at how the app is used to improve it (legitimate interests).
The tree surgeon decides what to do with your details and is the controller; we process them on their behalf to create, send and show the quote. That covers your name, contact details, address or postcode, the job and its photos, and whether you open, accept, decline or ask about the quote.
Questions about how your details are used, or requests to see or delete them, should go to the tree surgeon first. We'll help them deal with it, and you can also contact us.
We keep your name, business, email, mobile, base postcode, how far you travel and the work you do, to contact you about joining (legitimate interests), and the short code on the link you came from, if any (see below). We'll delete them if you ask, or if you don't join within [period, e.g. 12 months: to fill in].
You can ask to see the information we hold about you, have it corrected or deleted, restrict or object to how we use it, take a copy to use elsewhere, and withdraw consent at any time. Write to [contact email: to fill in]; we'll reply within a month.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put it right first.
Data travels encrypted. Sign-in uses one-time codes, and we store only scrambled versions of codes and sessions. Each tree surgeon can reach only their own quotes, homeowners reach their requests only by their private link, and photos are served only to people allowed to see them.
We'll update this page when what we do changes, and show the date at the top. If a change matters to you, we'll tell you before it takes effect.
